Requirements 3-5 years of relevant experience. Knowledge of military-specific software and data systems (e.g., MilPDS, BLSDM, PRDA). Must be a U.S. Citizen Exceptional Attention to Detail : Precision is critical when dealing with checklists, documentation, and compliance inspections, where minor oversights can have significant consequences. The candidate must be meticulous in reviewing records and preparing reports. Strong Organizational and Time Management Skills : The role involves managing multiple administrative support programs (e.g., safety, fitness, supply, security, task management) simultaneously, establishing suspense dates, and monitoring deadlines. The ability to prioritize and manage a high volume of tasks is essential. Regulatory Knowledge and Compliance Expertise : An understanding of relevant Air Force Instructions (AFIs), Air Force Manuals (AFMANs), and local operating procedures. The candidate should be able to interpret regulations and ensure unit compliance. Effective Communication (Written and Verbal) : The position requires serving as a primary point of contact (POC) for the commander and liaising with various external agencies (e.g., personnel, logistics, higher headquarters). Clear, concise, and professional communication is paramount. Problem-Solving and Critical Thinking : The ideal candidate can identify potential issues, develop risk mitigation strategies, and resolve complex administrative or readiness challenges resourcefully and proactively. Technical Proficiency : Basic computer literacy and a willingness to quickly learn military-specific software and data systems (e.g., MilPDS, BLSDM, PRDA) are necessary for documentation and reporting. Adaptability and Calmness Under Pressure : In a flying unit, last-minute changes and unexpected challenges are common. The candidate must remain calm and effective in high-pressure situations to ensure operations run smoothly and safely. Integrity and Self-Discipline : The role often involves handling sensitive information and requires a high degree of integrity and the ability to work independently with minimal supervision. Personnel Clearance Level: Candidate must possess or have the ability to obtain an active TS/SCI security clearance or higher. Clearance will be sponsored for the right candidate. Education Requirements: Some college course work from an accredited college or university in a relevant field of study. Essential Job Duties ( not all-inclusive) TMT Administration : Perform administrative review of annual officer and enlisted evaluations (NOT content, simply AMS/MilPDS type checks for rater alignment, days of supervision, duty title, etc), in/out processing paperwork, initial cold weather gear issue, Drug Demand Reduction Trusted Agent, and PROPS (internal paperwork routing management). Administrative Management : Oversee and execute all administrative support programs for the unit, including but not limited to, task management, awards and decorations, health care program coordination, fitness program oversight, safety program adherence, Automated Data Processing Equipment (ADPE) accountability, security management, supply chain coordination, and civilian timecard administration. Compliance and Regulation : Capacity to serve as team lead for all mandated administrative support programs, ensuring stringent compliance with Air Force Instructions (AFIs), Air Force Manuals (AFMANs), local Standard Operating Procedures (SOPs), and squadron commander directives. Regularly prepare and utilize documentation in strict adherence to pertinent regulations and policies. Strategic Communication and Liaison : Design and implement effective communication strategies to disseminate program requirements, policy updates, and procedural changes. Act as the official liaison to military and civilian personnel offices, utilizing access to military personnel systems as required. Information Management and Reporting : Maintain comprehensive records and control systems. Provide timely, accurate, and factual information and reports to the Commander, Directors, key staff, and customers regarding unit spaces and projects. Coordination and Execution : Manage all NPR functions, establishing controls, and suspense dates to ensure all required actions and responses meet established deadlines. Operational Support : Coordinate extensively with external resources, prepare and submit critical operational paperwork (e.g., travel orders, supply requisitions) in a timely manner, and maintain an accurate, controlled file system to ensure rapid information retrieval. Salary Range: $60,000 - $70,000 annually.
