Job Summary

The ERP and Inventory Analyst role is perfect for someone with a proactive, assertive personality who enjoys solving problems before they happen.  You’ll be the support to our Supply Chain, Planning, and Operations teams — ensuring our systems accurately reflect the physical movement of materials, and enabling Finance, Operations, and Supply Chain to make fast, informed decisions.

This person will own the integrity of our inventory systems across multiple co-manufacturers nationwide. From entering and receiving POs, to reconciling inventory, to building SOPs from scratch — you’ll bring both attention to detail and big-picture thinking to a complex, ever-evolving environment.

This job is for you if...

    • You love being a part of a foundational role in shaping how our fast-moving business scales — bringing organization, transparency, and momentum to every inventory move we make.
    • You are looking for a high-impact role for someone who loves owning their work and making systems sing.

As a Kiva’s ERP and Inventory Analyst, you’ll…

    • Inventory Accuracy & Transactions:
    • Maintain accurate, real-time inventory data across multiple co-mans, sites, and divisions.
    • Enter, receive, and close Purchase Orders (POs), while working with co-manufacturers and buyer/planners to resolve receiving discrepancies in order to prevent inventory variances before they happen.
    • Track and reconcile transfers, scrap, and adjustments to ensure all system transactions match physical movement.
    • Conduct quarterly inventory reconciliations with all co-man partners, sometimes conducting them monthly when needed.

    • Process Development & Continuous Improvement:
    • Create and document standard operating procedures (SOPs) and lead training for inventory processes, transfers, and sales order management.
    • Identify gaps in current workflows and proactively implement system and process improvements.
    • Drive consistency across co-mans and internal teams through clear, repeatable documentation.

    • Systems & Data Ownership:
    • Work with our planning team to help manage part numbers and Bills of Materials (BOMs) in our ERP system.
    • Work with our systems team to understand our ERP/Inventory System (Rootstock) to improve the functionality of our tools.
    • Partner with Finance and Accounting to ensure all inventory transactions are recorded accurately and timely for financial close.
    • Serve as a key systems power user — troubleshooting issues, optimizing workflows, and supporting integrations as we scale.

What we're looking for...

    • 4-6 years of experience in ERP management, operations, or supply chain (manufacturing or CPG preferred).
    • Strong understanding of inventory best practices, systems, BOMs, and ERP transactions.
    • Experience working with co-mans or distributed manufacturing networks.
    • Experience implementing or improving ERP or MRP systems (extra bonus points for Rootstock experience)
    • Prior exposure to CPG, food, or regulated product environments.
    • Excel/Sheets and advanced experience within ERP systems; comfortable with data analysis, pivot tables, creating reports, and troubleshooting variances.
    • Confident communicator who can follow up assertively and diplomatically across cross-functional teams.
    • Able to thrive in a fast-paced, constantly-changing, ambiguous environment  — you create order from chaos, and scalable process from complexity.
    • A proactive problem solver who doesn’t wait to be told what to fix — you see the issue and get it done.

Physical Requirements

    • Prolonged periods of sitting at a desk and working on a computer.
    • May require occasional travel to partner facilities
    • Must be able to lift up to 15 pounds at times.
    • Ability to communicate clearly via phone, video, and in person.
    • Regularly required to use hands to handle, type, or feel; reach with hands and arms.
    • May require occasional standing, bending, or walking to file or retrieve materials.
$80,000 - $90,000 a year
Please note, we consider a number of factors such as internal pay parity, relevant experience/skills, geographic location, etc.
